Best practices

How to get the most from this form.

Use checkboxes for availability and skills

Checkboxes let you filter submissions by day of the week or specific skill set. This makes matching volunteers to roles much faster than reading through open-text descriptions.

Require a motivation statement

A short required motivation field filters out low-commitment applicants. Set a minimum length of 30 characters — it's enough to show intent without being burdensome.

Ask about previous experience without making it required

Previous volunteer experience is useful context but shouldn't be a barrier. Make it optional so first-time volunteers aren't discouraged from applying.

Communicate the next steps in the confirmation

Tell applicants what happens after submission: 'We'll review applications and contact you within 5 business days.' Silence after submitting an application creates anxiety.

FAQ

Common questions.

What should a volunteer application form include?
A volunteer application should collect: Contact details, Availability (days and hours), Skills and interests, Motivation statement, Previous volunteer experience, and optionally a Reference contact. This template covers all of these.
How do I match volunteers to roles based on their skills?
Filter submissions by the 'Skills & Interests' checkbox field in your Formiqa dashboard. You can also export to CSV and use spreadsheet filters to match skills to open volunteer positions.
Can I use this form for a recurring volunteer drive?
Yes. Use the same form for each recruitment cycle — submissions are timestamped, so you can filter by date to see which applications are from the current drive. Alternatively, duplicate the form and give it a new name for each cycle.
Is there a limit on volunteer applications I can collect?
The free plan allows 10 submissions per form per month. For large volunteer recruitment campaigns, Formiqa Pro ($26.90/month) allows up to 2,500 submissions per form per month with no per-response fees.
Can I send a confirmation email to applicants automatically?
Yes. Configure a confirmation email in your form settings. Include the next steps, expected response time, and any preparation instructions for new volunteers.
